This page sets out the terms and conditions by which Carlie Coding (we, us) agree to provide services and products. We reserve the right to modify, cancel or append to these terms and conditions for any reason at any point.
Please read the terms and conditions carefully before booking any activities. Activity means any online classes, holiday camps, after school clubs, weekend courses, workshops, parties, or other services organised and operated by Carlie Coding. When you book or purchase any product or service from us, you are signifying your agreement to these terms and conditions.
General
Visiting this website, sending us emails, and completing online forms constitute electronic communications. You consent to receive electronic communications and you agree that all agreements, notices, disclosures, and other communications we provide to you electronically, via email and on the website, satisfy any legal requirement that such communication be in writing.
You hereby agree to the use of electronic signatures, contracts, orders and other records and to electronic delivery of notices, policies and records of transactions initiated or completed by us or via the website.
You hereby waive any rights or requirements under any statutes, regulations, rules, ordinances or other laws in any jurisdiction which require an original signature or delivery or retention of non-electronic records, or to payments or the granting of credits by other than electronic means.
We may assign any or all of our rights and obligations to others at any time.
Admission & Operational Procedures
All our activities are subject to availability of the venues and tutors as well as the suitability of students. Our services are offered to children aged between 5 and 11 years. We reserve the right to refuse admission to any students who are unable to meet the age requirements or other eligibility criteria.
We cannot guarantee admission if a student joins an activity later than 15 minutes from the start time.
When completing a booking for any of our activities, all medical conditions that a student may have must be fully disclosed in writing during the booking process. If full information about medical or physical conditions, or behavioural matters, is not provided before the start of an activity, it may result in the participating student being excluded from the activity and no refunds or credits will be offered.
Fees & Payments
Fees must be paid in full before a student joins an activity to confirm a booking. We discourage payment by cash. Fees are non-returnable for students arriving late, leaving early or missing an activity.
Cancellation
If you cancel your booking in writing by e-mail within two (2) calendar days, you will receive a full refund – no ifs, no buts. After this cooling-off period, all bookings are deemed as final and non-refundable.
If you need to alter your confirmed booking outside the cooling-off period, we can offer you a credit note to the full value of the booking as long as you notify us in writing via e-mail at least 48 hours before the commencement of the booked activity.
Please note that we are unable to offer any refunds or credits for changes made within 48 hours of your session start time or in case of no show up.
If a refund or credit is given for an activity in which the customer has received a discount, the new activity booking details will be considered to ensure the discount is still applicable.
In the event that we have to cancel an activity for any reason, such as overbooked sessions or tutor availability, an alternative provision to run the activity at another time and/or venue will be arranged. If you are unable to attend the activity at the alternatively arranged time and venue, we will issue a credit note to the full value of the booking.
All our credit notes are valid for 6 months and can be used to book another activity at your convenience.
Photography & Film
Photographs, film, video and/or audio recordings may be made during our activities for publicity, promotional or broadcast purposes. Please notify us in writing at the time of booking or before the booked activity starts at the very latest if you do not wish you or your child to appear in any such material.
Under no circumstances, names or other identifiable details of students on our courses are disclosed publicly or to third parties. We hold the copyright of all photographs, videos or audio recordings taken during our activities.
Personal Property
We do not accept responsibility for any loss of, or damage to, personal property belonging to anyone participating in our activities. It is advisable that students do not bring with them any valuables.
Similarly, we do not accept responsibility for any loss or expense due to circumstances beyond our control, including, but not limited to, delays in public transport, weather, quarantine, sickness, bereavement, strikes or other industrial action, terrorism, looting, public disorder, fire and riot.
Data Protection
To process your booking, we need to collect personal details about you and all the participants on your booking. Yet we only collect and record personal information that is necessary to carry out its functions, nothing more. It is your responsibility to ensure that you have permission to pass on these details.
In addition, we may monitor and record communications with you (including phone conversations and emails) for quality assurance, legal, compliance and training purposes.
We ensure that information held on our computer systems is secure to guard against unauthorised or unlawful processing or accidental loss, destruction of, or damage to personal data. We will only share personal data with those organisations that it is legally required to, and where sharing personal data is necessary, we will comply with the Data Protection Act.
Programme Changes
We make every effort to adhere to the advertised activity programmes, but on exceptional occasions these are subject to change in the event of circumstances beyond our control. No refunds will be made for activities that do not occur. Some activities printed on our literature or on our website may no longer be available.
Authority, Suspension & Expulsion
We reserve the right to suspend or remove any student. We expect every student to behave in a considerate and respectful manner to our staff and other students. We operate a yellow and red card system. If a student receives a red card, we reserve the right to remove them from the course. Under such circumstances, we will be under no obligation to return any fees or issue any credit notes.
Liability
We, nor any personnel authorised by the company, nor the school or facility at which the activity is being held, will accept liability for the personal injury of any participant, howsoever caused.
Neither we nor any person involved with the organisation will accept liability for loss or damage to any property belonging to a participant. We do not accept any responsibility for any losses or additional expense due to injury or sickness whilst at an activity.
Force Majeure
In the event that we have to cancel an activity due to exceptional circumstances, such as fire, natural disasters, governmental interventions, or any event deemed beyond our control, we will issue a credit note to the full value of your booking.
Equal Opportunities
We are an equal opportunities employer and welcome all children regardless of their gender, ability, race or religion. Every participant is of equal value and is entitled to equal access of opportunity.
